Working with Casey

What you needNothing extra to ask Casey — no key and no role. Casey must be switched on, and an AI provider key must be set. Changing how Casey is offered needs the Administrator key (section 8).

1. Who Casey is

Casey is the assistant built into AI CaseQuery. The panel calls it “Your context-aware CaseQuery assistant”. Casey helps you use the product: what a screen is for, what a warning means, how to word a definition, why an answer may have come out the way it did.

Casey is not a way to ask about your data. To find out how many files are open, ask in Chat as usual. Casey cannot see your database and cannot run a query.

Casey explains and helps you draft. It never changes anything. Every decision — settling a definition, saving a rule, marking an answer right or wrong — is still made by a person, on the screen built for it.

2. Opening Casey

There are two ways to reach Casey. They only appear when Casey is switched on for your copy of AI CaseQuery.

Buttons that open Casey for you

Several dialogs have their own Casey button, worded as the question you are likely to have. Pressing one opens the panel and asks for you, sending a short description of what the dialog is showing.

Whatever is sent on your behalf is shown at the top of the conversation, starting “Sent with this:”, so you can see exactly what went.

One conversation in the panel

The panel keeps one conversation for your session, whichever screen you open it from. A question you asked while looking at a warning on Chat is still there when you open the panel on Fine-tuning. Closing the panel keeps the conversation. Press Clear to empty it when you move on to something unrelated. There is no confirmation, and nothing else is affected.

The panel conversation stays on screen only for the session: it goes when you close or reload the browser tab. (Each question you ask Casey is still kept in a log on this installation; see section 4.) Questions asked with the tick box on the chat screen appear in the chat itself, not in the panel.

Casey reads each question on its own The conversation stays on screen for you, but Casey is not sent your earlier questions or its earlier answers. Put everything Casey needs into each question. “What does that mean?” on its own will not work; “What does ‘Asked twice — and read two different ways’ mean?” will.

3. What Casey knows

The product guide

Casey always has a built-in description of how AI CaseQuery works: what preparing a database does, the difference between a term, a rule, a column note and a view, what each Worth checking message means, the kinds of definitions a firm settles, and what does and does not leave your computer. That description is made for the exact version of AI CaseQuery you are running (see section 7).

What you send with a question

Casey sees what you type, and what a Casey button sends for you (section 2). It is not sent the rest of the screen you are on.

What your firm has written down — if your administrator allows it

When Let Casey read what your firm has written down is on, Casey is also sent, for the database you are connected to:

This is what lets Casey answer “why didn’t my term apply?” rather than only “how does the Terms tab work?”.

The Reading line

Under the panel heading, a line starting “Reading:” says what Casey can draw on right now. It names the screen you are on (Chat, Fine-tuning or Business Rules) and says either that Casey is reading your firm’s terms, rules, settled definitions and column notes, or that it has not been allowed to. It changes as soon as an administrator changes the setting.

4. What Casey never sees and never does

The one named exception When you ask the assistant about a tuning item, it is sent that item’s counts and values from the preparation scan. This happens when you press Guide me through this on Fine-tuning › Definitions to settle, so Casey can read back what your data showed. It is still not sent any records.

Column notes can name the values a column holds — for example Active, On Hold, Closed — because that is what makes a coded column answerable. That is a column’s vocabulary, not anybody’s record.

Anything you type into Casey is sent to your firm’s AI provider, like any other question. Do not paste records, names or identifiers into it.

What you write in a dialog travels too, when you ask Casey from that dialog Pressing Assist me with this or Help me word this sends what is in that box, along with the questions and answers about that box, so Casey can word what you have written rather than guess at it. Questions you asked about other screens are not part of it. The same rule applies: your correction or definition is your sentence, so do not put a borrower’s name or an account number in it. It is recorded in the request trace like every other outbound call.

What Casey never does

The questions typed to Casey are kept in a file in the application folder, with the name of the person who asked, so whoever supports your installation can see which parts of the product need explaining better. That file is never sent anywhere.

5. Good questions to ask

Casey works best on a specific question about something in front of you. Name the message, the button or the screen, in its own words.

Ask Casey where things live, then check Casey knows the product well, but is told to say when it is not sure. If an answer names a screen or a button you cannot find, say so in your next question, or ask whoever set AI CaseQuery up.

6. Casey and Worth checking

An answer can carry an amber Worth checking panel — for example “Asked twice — and read two different ways”, when the same question has been answered using more than one reading. Where there is something to do about it, the panel has a Help me sort this out… button.

That button opens a short guided dialog in four steps:

  1. What happened — the readings your question has had, or how often each was used.
  2. What it means — what the message means and what usually settles it. If you still do not follow, press I still do not follow — explain it to me. Casey opens beside the dialog and is sent your question and the readings: which tables and columns each reading used, and how many times. No values from your database.
  3. Your call — say whether you can state what your firm means, or pass it on to whoever settles these.
  4. Write it down — write the definition, if you chose to (this needs the Leads’ key).

For this kind of question Casey explains what the readings differ on in business language, says whether the answer on screen is necessarily wrong (usually it is not), and ends with a short lettered list — A, B, and “neither of these” — for you to choose from. It will not choose for you.

Closing the Casey panel returns you to the step you were on. Casey records nothing: when you have decided, record it in the dialog, or on Fine-tuning › Definitions to settle.

7. Limits

LimitWhat it means for you
Question lengthUp to 2,000 characters. A longer question is refused with “That question is too long for the assistant.”
Answer lengthCasey is told to be brief; most answers are a few sentences. Answers from a Casey button that sends details for you can be a little longer.
SpeedThe first question of a sitting takes about a minute; later ones take seconds. Pressing again while Casey is working shows “Casey is still working on the last question.” If nothing comes back within three minutes the request is stopped and the panel says so.
Your firm’s AI provider accountCasey uses the same AI provider and key as everything else, so each question is charged to your firm’s own account. Without a key, Casey says it needs one and sends nothing.
Daily question limitIf your installation sets a daily question limit and you have reached it, Casey will not answer either until the next day.
After an updateCasey’s product guide is made for one exact version of AI CaseQuery. If the two do not match, Casey is switched off rather than risk describing a screen that has moved: the sidebar button disappears and the Ask Casey tick box is greyed out. Hold the pointer over it to see why. It returns once the versions match.
No conversation to come back toThe panel conversation lasts only while the browser tab is open, and Casey cannot save a draft for you — copy anything you want to keep. (The questions you ask are still logged on this installation, as section 4 explains.)

8. For administrators

Casey is set up in Settings › Assistant, on the Ask Casey card. Opening Settings needs the Administrator key or the administrator role. The Setup checklist includes the step Decide about the AI Expert Assistant, which brings you here; turning Casey off is a valid decision, and you can confirm the step either way.

These choices are saved for your Windows account on this computer Like the chat starter questions, the Casey switches and Casey’s starter questions are stored for the Windows user who saves them. Another person using AI CaseQuery under their own Windows account starts from the defaults (both switches on, the supplied starter questions) until they are set for that account.

Offer Casey on the chat screen

On by default. This is the switch for Casey as a whole: when it is on, the Ask Casey tick box appears beside the question box, and the Ask Casey sidebar button, Ctrl+K and the Casey buttons in dialogs all work. When it is off, all of them disappear and nothing is sent. The line under the switch says which state it is in.

Let Casey read what your firm has written down

On by default. This is a separate permission: Casey is also sent your terms, business rules, settled definitions and column notes (section 3). Still no rows from your database. Notes on hidden columns are never sent.

Casey’s starter questions

Under Starter questions for the assistant, enter one question per line. They are shown as chips on the chat screen when Ask Casey is ticked, and the first six appear under Try one of these in the panel. Up to 24 are kept, each up to 200 characters; duplicates are dropped. An empty list is allowed.

This list is separate from the Starter questions card above it, which holds the data questions shown on the chat screen. Word Casey’s questions as questions about using the product, in your own firm’s vocabulary.

Restore the supplied set puts back the shipped Casey questions. It changes only the question list, not either switch.

Saving

  1. Set the two switches and edit the question list.
  2. Press Save on the Ask Casey card. The two switches and the question list are saved together.
  3. Check the lines under the switches. If Casey is on but cannot be used — for example after an update, until versions match — the reason is shown there.

Your chat screen follows the change straight away, and the Reading line in the Casey panel updates to match.

9. When Casey is wrong or unsure

Casey is an AI, and it can be wrong. It is told to say “I am not sure” rather than guess, but treat its answers as advice, not as the product’s record.

Glossary

AI provider account
Your firm’s own account with the AI company AI CaseQuery uses. Questions to Casey, like data questions, are charged to it.
Business rule
A standing instruction that applies to every question, whatever it asks. For example: always exclude files closed in error.
Casey
The assistant built into AI CaseQuery. It explains how to use the product and helps you draft; it cannot see your data and changes nothing.
Column note
A note explaining one column — what its codes mean, or which of several dates matters. It can name the values a column holds.
Daily question limit
An optional limit, set for the installation, on how many questions one person may ask in a day.
Hidden column
A column an administrator has marked in Schema rules as never to be seen. It is never sent to the AI, and notes on it are never shown to Casey.
Preparation scan
The one-time read of your database, done on your own computer, that describes coded columns and finds the definitions your firm needs to settle.
Product guide
Casey’s built-in description of how this version of AI CaseQuery works.
Query result
The rows your database returns for a question. Query results never leave this machine.
Reading
One way of interpreting a question — which records it counts. The same question can have more than one reading until a definition settles it.
Settled definition
A decision, recorded by a lead, about what a word or question means at your firm. It applies to every later question that rests on it.
Term
What a phrase means at your firm, with the other names people use for it. Kept on Business Rules › Terms.
Tuning item
One of the definitions listed on Fine-tuning › Definitions to settle.
Worth checking
The amber panel under an answer that says something about it deserves a second look. The answer is still shown.
